With Beekeeper Forms, form submissions can be sent to a stream or to a chat message. If you would like to send form submissions to an email address, you have to purchase a valid Zapier subscription.
The following article will explain how to set up the workflow.
First App: Webhooks by Zapier
In this step, we will get the data from the submitted form in Zapier.
- Start in Zapier.

Choose App & Event
Set up the Zap using the App “Webhooks by Zapier” and the trigger “Catch Hook”.
- Customize Request
Copy the Custom Webhook URL -
Go back to your form in the Beekeeper Dashboard, click on ‘Set Webhook’, and paste the Custom Webhook URL into the popup field “Set Webhook”.
- Fill out the form one time so test data can be generated.
- Go back to Zapier, find the request and press “Continue”.
Second App: Beekeeper
In this step, we will get the registered email address of the form submitter. You can skip this step if you want to send the submissions to a static email address.

Choose App & Event
Set up your second app in Zapier. Choose the App “Beekeeper” and the Action Event “Find User”.

Choose Account
Create a bot in your Beekeeper account (in your Dashboard under Extensions > Bot Accounts) and go back to set it up in Zapier.

Customize User
Start a Search Query. You can choose any data that is submitted by the app in point 1. Click in the search query bar to see your options or start typing “Payload Submitted By: {{User_ID}}”. This will allow you to look for the submitter of the form using their User ID.

Send Data
Test your Action by clicking Test & Continue.
Third App: Your Email Provider
In this step, we send out the email using Gmail.

Choose App & Event
Select your App e.g. Gmail or Email by Zapier and the appropriate Action Event e.g. “Send Email”.

Choose Account
Connect your email account to Zapier.

Customize Email
Customize your Email and press continue when you are done:- To: Choose who the email address of the recipient of the form submission,
- Cc: Choose who should be cc-ed in the email. You can select the submitter’s email address since you searched for the submitter in step 2 (e.g. “2. Email Address: daniele.steiger@beekeeper.io”).
- From: Choose the email address of the sender.
- Subject: Write the subject of the email
- Body: Choose what should be written in the email:
… you can write fixed information (e.g. “The first idea: “),
… select what info from the form submission should be displayed e.g. the display name of the submitter (in the example: “2. Display Name: Danièle Steiger”),
… and select the answers of the form. Make sure you select the answer, not the question of the form (in the example: the question is “What is your idea?”, but we need to select the answer “My idea is to buy bee hives.”).
- Press “Continue”.

Send Data
Test your Action and turn on your Zap if you are happy with it.
- Press “Done Editing”.
- Congratulations! You are done! 🎉
