Tasks Overview
Tasks help you to keep track of your to-do’s and delegate tasks to other people. The Tasks widget for Home allows you to track and manage your tasks directly from the Home tab.
Where to find Tasks
You can find Tasks on the home screen, under 'Shortcuts':
Or in the 'More' tab, under 'Toolbox':
Or on the Tasks Widget if your company uses one:
How to create a new Task
Web App
Mobile App
The first option is to go to Tasks and tap the "+" icon in the bottom right of the screen.
Or you can create a Task from a chat message, by long pressing on the message and then clicking 'Add to Tasks'.
You can then give the task a title and description, set a due date and if you like, you can attach images. Task titles can be max 200 characters (anything else should go in the description).
You can add subtasks or embed a form in the “Create subtasks OR attach a form” section.
Embedding a form is useful when you want to make sure that data is captured when you assign work. You will be able to embed only forms that you have ‘Set Access’ rights to.
By doing this, you’ll be able to track the progress of your work. Whenever the user starts filling out an embedded form, the status of the task will automatically move from ‘To Do’ to ‘In Progress’, and finally be closed whenever the form is submitted.
Adding subtasks allows instead to split the task scope in smaller items where each of the subtasks can be completed separately and assigned to different members of your team.
These options are mutually exclusive, you can either have an embedded form or subtasks.
Finally, you can also add links to posts and documents, by pasting the link into the 'Links and attachments' section.
As an admin, you can assign tasks to other people. Any kind of admin (except for stream admin) can currently assign tasks to anyone (there are no limitations here currently, as we’re aiming to learn from customers what constraints they expect e.g. only be able to create a task for someone in your team).
Group admins can reassign tasks that the group admin is an admin of. They cannot reassign tasks if it's a personal task assigned to them by another admin or if it is an open task that the group admin is just a member of.
If you don’t explicitly assign the task to any of your team member, then the tasks will be assigned to you by default (unless for Open Tasks, see the related section).
Bulk Tasks
As an admin, you can assign tasks to other people. Any kind of admin (except for stream admin) can currently assign tasks to anyone.
You can either assign a Single Task to an individual or a group (see Open Tasks to understand how a task assigned to a group works), or assign Bulk Tasks to a group, in which case every single member of this group will receive the task.
Completing Tasks
The assignee and the creator of the task are both able to mark the task as done or to re-open a completed task.
Viewing an overview of your Tasks
As an admin, you have four tabs visible to you: 'All Tasks', 'My Tasks', 'My Teams' and 'Created by Me'.
If you delegate tasks to other team members, you will be able to see an overview of these tasks, and see when they are open or completed.
Team members will only have a view of tasks that are assigned to them (created by them or assigned to them by others).
Inline Translations in Tasks
Direct inline translations for Tasks help reduce confusion and eliminate costly mistakes caused by miscommunication. Diverse frontline workforces can now instantly understand tasks assigned to them by translating tasks into their preferred language. The tasks will be translated to the language that was selected by the user on their phone. In the web app, the translation language is the one chosen by the user in the app settings.
You can read more about inline translations here.
Task Notifications
Users will receive push notifications for being assigned a new task directly or for having a new task created that is open to their group or location.
