Converting a submitted form into a PDF
This action is necessary if you want to attach the converted PDF file to:
- an email
- a chat message
- a post in a stream
- a task
- or upload the file to the document library
You can convert the form from two sources:
- Form submitted trigger
- Embedded form in a task (requires Full Tasks)
How to start?
☝️Prior to this action we advise to add the action “Retrieve user profile” which will help you reference the user fields such as First and Last Name in the “File name” when naming the file.
How to use the fields?
Submitted form - use Magic Variables to enter the submitted form either from the trigger (Form submitted) or the embedded form in the task.
Submitter profile data - to be able to update this field, you need to add the “Retrieve user profile data'' step prior to this action. Then using the Magic Variables panel on the left side, you can update this field. This field adds the details of the person who submitted the form: user full name and the avatar picture to the generated PDF file.
Page format - select A4 or Letter.
File name - you can enter a static name or use Magic Variables. When you leave it blank, the file name will display the form submission id. Remember that if you are planning to upload this file to the document library, the file name has to be unique.
Merging PDF documents in workflows
This is a very handy feature used for efficiency and clarity. This way you may combine the results from a form submission together with an embedded form from a task that contains related details. Those two pieces can now be combined into one document and used in further blocks (e.g. storing in the document library or sending as an email attachment).
