This guide explains how to create a workflow to target a specific location or group in your organization. This can be especially useful if you want to create a process (such as onboarding or maintenance) that is specific to a location or a group only.
Create location-specific onboarding flows based on a user’s group or location
- Go to the “Dashboard” and click on “Toolbox”, then “Workflows”.
- Click on “Create new Workflow” if this is the first workflow in your tenant or “Add New” if there are already some workflows.
- In the “Workflows settings'' panel enter the workflow name and optionally add a description.
- Then click on the “Add a Trigger” placeholder to add a trigger.
- Select the trigger “User’s First Login” from the trigger list and click on “Add”.
- Then click on “Add an Action”.

Select a branching action from the “Branching” section in the action panel.
- Select the user and the groups or locations that they should be a member of. This will allow the workflow to only continue if the user is a member of the group or location you selected.
- Add all other steps you would like to have in your workflow. These could be tasks generated for a newly onboarded user (specific to your group or location), or messages or documents you send to them via chat.
- Save and activate your workflow.
Schedule a campaign message to send to a group of users within a workflow
- Go to the “Dashboard” and click on “Toolbox”, then “Workflows”.
- Click on “Create new Workflow” if this is the first workflow in your tenant or “Add New” if there are already some workflows.
- In the “Workflows settings'' panel enter the workflow name and optionally add a description.
- Then click on the “Add a Trigger” placeholder to add a trigger.
- Select the trigger “Daily” or “Weekly” or “Monthly” from the trigger list and click on “Add”.
- Then click on the “Add an Action”.
- Select the action “Send a campaign” and choose the groups and/or locations you would like to send the campaign to.
- Save and activate your workflow.
Add or remove users from a location-based stream to give visiting employees access to localized information
- Go to the “Dashboard” and click on “Toolbox”, then “Forms” to set up a form that will allow users to request access to a certain stream.
- Go back to “Toolbox” and then “Workflows”.
- Click on “Create new Workflow” if this is the first workflow in your tenant or “Add New” if there are already some workflows.
- In the “Workflows settings'' panel enter the workflow name and optionally add a description.
- Then click on the “Add a Trigger” placeholder to add a trigger.
- Select the trigger “Form submitted” from the trigger list and click on “Add”.
- Then click on the “Add an Action”.
- Select the action “Add a user to a group/location” and choose the user that should be added, as well as the location selected. By doing this, the user will automatically inherit from all permissions settings for that specific location, so if you set a stream visible for that location only, the user will be able to access the said stream.
- Save and activate your workflow.
