Depending on what Beekeeper plan type you are currently on, you have the following options for how users log in to the app:
- Single Sign-On (SSO)
- Password (Auto-generated)
- Password (Manually Assigned)
If you are not able to use SSO - which provides the easiest access for all users - we recommend using the auto-generated password option. This is so that you can make full use of the in-app invite methods. You can:
- Send login credentials via Email/SMS
- Create and distribute a personalized invite with a QR code
It requires a little more effort to create and distribute the personalized invites, but we know from experience that Customers who opt for Personalized Invites are much more likely to achieve a high level of adoption.
Both options can either be used at the time of manually creating a new user, or at a later time. Once all users are created you can decide to invite a single user at the time or send login instructions to all users in bulk. To learn more about sending invites in bulk, go to Login Instructions.
Invite a single user
To generate login credentials for a single user (a new user in the app, or a user who has lost or forgotten their password):
- Login to Beekeeper on a desktop computer
- Click the “speedometer” icon on the right-hand side of the top navigation bar to go to the Dashboard:
- Click the "Users & Groups" tab on the left, then "Users"
- Click on the user you want to send login credentials to
- Click on the "Onboarding" button at the top
Email/SMS option
- Select "Send Login Credentials..."
- Write a custom message and preview if you like
- Click "Send Login Credentials"
Depending on the contact details in their profile, the system decides whether to send the user an email or sms. If the user has both an email and a mobile number in the system, an email will be sent, if only the mobile number is there then an SMS will be sent. If neither is available, no instructions will be sent.
Personalized invite option
- Select "Create Personalized Invite..."
- The system will generate a PDF file with login instructions and a QR code for you to print and hand to the user. The invitation will be generated in the language that is defined in the Dashboard > Settings > General > Default Language. Unless the user has a different language already set up in their profile, in which case it will generate the invitation in that language
Note: Both options will reset the user's password to a new auto-generated password (which the user can then change once they have logged in).
Quick QR code login
Managers (with Global Admin or Group Admin permission) can also quickly help a team member to login by pulling up a QR code for them to scan.
To generate QR code for a colleague on your desktop:
- Login to Beekeeper on a desktop computer
- Click on your profile icon in the top right corner
- Select "Dashboard"
- Click the "Users & Groups" tab on the left, then "Users"
- Select the user you want to generate a code for from the user list
- Click on "Onboarding"
- Select "Generate Login Code..."
- This brings up the code for your colleague to scan on your screen
- Ask the user to open Beekeeper on their mobile, then tap the "Scan QR Code" option in the login screen and scan the code
To generate QR code for a colleague on your mobile:
- Login to Beekeeper on your mobile
- Go to the "More" tab in the bottom right corner
- Select "User Directory"
- Select the user you want to generate a code for from the user list
- Click on the QR code icon in the top right corner
- This brings up the code for your colleague to scan on your screen
- Ask the user to open Beekeeper on their mobile, then tap the "Scan QR Code" option in the login screen and scan the code
